Hours will fluctuate based on event schedules, typically 10-15 hours per week and increasing to 25-30 per week during Sept. and Oct. 2020. This position has the potential to extend into 2021.

Compensation: Up to $20,000 to $30,000, negotiable based on experience, benefits not included.

Park City Community Foundation seeks an experienced event manager responsible for leading the project management and execution of multiple events throughout the year. We are looking for a highly organized and dynamic individual who can juggle many priorities and successfully communicate with all stakeholders. Keys to success include taking the event concepts from vision to reality; ensuring close collaboration between the marketing, fundraising, sponsorship, and executive staff; and thorough planning and attention to detail, leaving our guests with an emotional connection to our work and inspired to make a gift.

Reporting to the Communications and Marketing Director, the Event Manager is responsible for logistics and overall execution of 12-14 events—including our 10th annual giving day, Live PC Give PC, on Nov. 6, 2020—as well as four small donor events, two special donor thank you events, our annual Women’s Giving Fund grantee celebration, and our Community Fund grantmaking event.

Responsibilities

Event Planning and Execution – Participate in strategic planning and goal definitions for various events. Conduct individual and/or group planning meetings with staff and stakeholders to create goals and schedules for event. Ensure that all event details are taken care of, from location acquisition to catering, AV, photography, invitations, décor, parking, signage, and more.

Event Communications and Outreach – The Event Manager is responsible for updating current event information on our websites, EventBrite, and the 2020 version of the Live PC Give PC website hosted by Mightycause. Marketing staff will work in partnership with the Event Manager to create invitations, social posts, communications and marketing materials, and conduct all media relations.

Collaboration – Work collaboratively with the staff, vendors, and in-kind sponsors to leverage resources, budgets, and time management to produce the best possible community engagement experiences for donors and audiences alike. Work in partnership with Development staff to communicate and coordinate with Board Members, major donors and other stakeholders. Provide excellent customer service to event guests through clear communication, friendly, professional demeanor and timely response to needs.

Live PC Give PC Specific Duties

  • Day-of Parties: Handle all event details for High West party, All-Star party, and other parties that may happen, including food, AV, entertainment (DJ), signage placement, communications with staff, vendor contracts, volunteer management, clean up, etc. Handle all logistics for Giving Day “headquarters” at High West Distillery.
  • Parades: Manage Park City Community Foundation/Live PC Give PC floats in the July 4 and Miner’s Day Parades, including registration, volunteer sign-ups, and parade day logistics.
  • Nonprofit Communications: assist other staff as needed in registering local nonprofits for Live PC Give PC and communicating with nonprofits about their needs and activities leading up to the day and on the day. Update all nonprofit toolkit information on the Live PC Give PC website, assist with required trainings for nonprofits, and communicate with them about social media, online fundraising, media outreach and other Giving Day elements. Become familiar with Mightycause giving platform and be able to answer questions from nonprofits about it.
  • Volunteer Management: Help recruit volunteers for Live PC Give PC with help from Park City Community Foundation lists and staff. Manage volunteer information, training, and communication. Manage volunteer photographers, t-shirt hand-out, and other volunteer activities.
  • Sponsorship Outreach and Fulfillment: In coordination with fundraising staff responsible for securing sponsorships for Live PC Give PC, the Event Manager will ensure that sponsors receive the benefits promised, particularly with respect to social media, signage visibility and announcements made onsite on the day of giving.

Qualifications

We welcome candidates who are learning in their career path and motivated to take on new opportunities. Ideally, we prefer candidates with the following qualifications:

  • Three to five years of event management experience
  • Excellent verbal communication and writing skills
  • Strong project management skills with the ability to track multiple deadlines and deliverables at one time
  • Thorough working knowledge of MS Office (Word, Excel, PowerPoint and Outlook)
  • Ability to lift and carry 30 pounds unassisted
  • Ability to sit or stand for extended periods of time
